The AI Assistant supports three core functions:
  • Store Setup — guided onboarding after registration
  • Email Template Editing — natural language edits inside the template editor
  • Data Analysis — querying store metrics through conversation
It is accessible from any page in the Subotiz admin via the top navigation bar icon, and all three capabilities live in a single conversation panel — no switching between modules.
No. The AI Assistant only accesses data from the current Subotiz store you are logged into. Cross-account and cross-store data access is not supported. This applies to all three capabilities: onboarding, email editing, and data analysis. If you manage multiple stores, you must switch accounts and open the assistant separately in each store.
Undo support is limited to the Email Template Editor only. You can revert the most recent AI-generated change using the undo option in the assistant panel. However, this only applies to the last AI action — once a new instruction is submitted, the previous undo option is replaced. The editor undo function (keyboard shortcut) applies to both AI-generated and manual changes in a shared action history. Undo is not applicable to data analysis or store setup, as those capabilities do not involve direct modifications to your store.
You can skip individual questions or all questions during the AI Onboarding flow. When questions are skipped, the system automatically applies default values for the missing fields. This means the generated onboarding plan may be based on generic defaults rather than your specific business profile. You can review and edit the information summary card before generating the plan, and individual tasks can also be skipped in the task list without affecting the overall flow.
No. Onboarding progress is saved automatically. When you reopen the Subotiz admin, the AI Assistant will allow you to resume from the last completed step. You can also reopen the AI Assistant panel at any time to continue remaining tasks. Tasks that were already completed will not need to be repeated.
Yes. After the assistant collects your inputs and displays the Information Summary card, you can edit any field directly in the card before generating the onboarding plan. You can also send a follow-up message to update specific details, for example: Change the region to the United States. The plan is only generated when you click Generate Onboarding Guide, so changes can be made up to that point.
The Email AI Agent supports a wide range of updates through natural language:
  • Updating colors, fonts, and visual styles
  • Adjusting spacing, alignment, and layout
  • Rewriting subject lines, body text, and call-to-action buttons
  • Modifying button size, color, and text
  • Repositioning or resizing the logo
  • Editing header and footer structure
  • Highlighting key content such as pricing or trial periods
All changes apply only to the currently open template.
It is recommended to submit one instruction at a time for more predictable results. Combining multiple requests in a single message may lead to incomplete or inconsistent changes. If you need to make several updates, break them into individual instructions and apply them one by one, reviewing the result after each step. The assistant retains context within the session, so follow-up instructions build on previous changes.
Discrepancies are most commonly caused by three factors:
  1. Default time range — if no time range was specified, the assistant defaults to the last 30 days, which may not match the report period.
  2. Data sync delay — the most recent data may not be fully reflected yet, especially for queries covering today or the last hour.
  3. Store context mismatch — the assistant automatically applies the current store’s timezone and settlement currency. If the reporting module is configured with different settings, results may differ.
To verify, specify the exact time range and confirm that the report is using the same store timezone and currency.
If no time range is specified, the assistant defaults to the last 30 days for general queries. For comparison queries such as how has revenue changed, the default logic compares the last 7 days against the previous 7 days. The assistant also automatically applies the current store timezone and settlement currency. To avoid unexpected results, always specify the time range explicitly — for example, last week, this month, or a specific date range.
There are two likely causes:
  1. Row limit — each query returns a maximum of 1,000 rows. If your query covers a broad scope, the result may be incomplete. Try narrowing the time range or applying filters such as country or product.
  2. Data scope — the assistant only supports Subotiz system data. External files, third-party platforms, industry benchmarks, and competitor data cannot be analyzed.
If results appear incomplete, refine the query by reducing the time range or adding specific filters.
No. All results returned by the Data Analysis Assistant are aggregated data only. Individual transaction records, customer-level details, payment card numbers, CVV codes, and personal information are never returned. This is by design to protect sensitive data. If you need individual transaction details, use the Subotiz reporting module directly.
Yes, in most cases. The system automatically selects the most appropriate chart type based on the returned data. For trend data, the default is a line chart; comparison data defaults to a bar chart; composition data defaults to a pie chart. Where supported, you can switch between available chart types using the chart type selector. Not all chart types are available for every result — some results may only support a table view. For better visibility, switching to widescreen mode is recommended when viewing charts in the narrow panel.
When today’s data appears inaccurate or incomplete, verify three things:
  1. Time range — the assistant defaults to the last 30 days if no period is specified. A query for today must explicitly include that timeframe.
  2. Data sync delay — recent data may not be fully synced yet. Queries covering very short periods such as today or the last hour are most affected. Try expanding the time range to the last 2 to 3 days to validate the trend.
  3. Cross-check — compare the result with the Subotiz reporting module for the same period to identify discrepancies.
The Email AI Agent is only accessible from within the email template editor — it is not available from the main AI Assistant panel. To access it:
  1. Go to Email in the Subotiz admin.
  2. Select either Transactional emails or Marketing emails.
  3. Click Preview next to any email template to open the editor.
  4. Click the AI Agent icon in the top bar to open the assistant panel.
The Email AI Agent is only available when you are inside an open template.
No. The Email AI Agent only applies changes to the currently open template. If you have multiple email templates, each must be opened and edited individually. Changes made in one template session do not carry over to other templates.
No. The keyboard undo shortcut applies to a shared action history that includes both AI-generated changes and manual edits. Pressing undo reverts the most recent action regardless of whether it was made by the AI or manually. This is different from the undo option in the AI assistant panel, which specifically reverts only the most recent AI-generated update. If you want to undo only the last AI change without affecting manual edits, use the undo option in the assistant panel rather than the keyboard shortcut.
The AI Onboarding flow supports three types of input when answering setup questions:
  • Free text entry
  • Selecting from suggested options provided by the system
  • Uploading images
Merchants do not need to type every answer from scratch — they can select pre-filled options or upload relevant visuals where applicable. Any questions that are skipped will have default values applied automatically by the system.
Yes. Individual tasks in the Onboarding Guide task list can be skipped without affecting the rest of the onboarding flow. Progress tracking continues based on completed tasks. Skipping a task does not remove it from the list — it remains available to return to later. The onboarding flow is designed to be flexible so merchants can complete tasks in the order that suits their setup.
Yes. The AI Assistant panel can be reopened at any time from the top navigation bar in the Subotiz admin. Even after completing onboarding tasks, you can return to the AI Assistant to continue remaining tasks or review completed ones. Progress is saved automatically, so the system will reflect your current completion status whenever you reopen the panel.
The AI Assistant supports natural language search across four data types: transactions, customers, subscriptions, and invoices. Supported query conditions include:
  • ID or keyword — such as a specific transaction ID or customer email containing a certain value
  • Time range — such as last week, last 7 days, or this month
  • Status — such as inactive subscriptions or refunded transactions
  • Amount range — such as transactions greater than USD 100
Flexible queries such as large transactions, new customers, or recent refunds are also supported — the AI returns matching results and displays the filters applied so you can refine further if needed.
Yes. The AI Assistant supports multi-turn follow-up questions within the same conversation and automatically retains existing search conditions. You do not need to repeat the full query each time — the system continuously updates results based on the ongoing conversation. For example, you can first search for failed transactions from the last 7 days, then follow up to view records with refund amounts over USD 100, then check the customer information linked to a specific transaction. This step-by-step approach helps locate target data more quickly without restarting the search.
Yes. When a query returns a large number of results, click View all results to open the corresponding list page and review the full dataset. The AI Assistant automatically carries over the filters used in the conversation — you do not need to configure them again. From the list page you can continue to view full results, adjust filters, or export data. This creates a seamless workflow between AI-powered search and standard list management.
The AI Assistant’s data search has two main limitations:
  • Permission-based access — search results follow the permissions assigned to the current account and only display data the account is authorized to access.
  • Conversation context limit — each conversation supports a maximum of 50 rounds of context retention. After 50 rounds, earlier context may no longer be retained and complex multi-step queries may need to be restarted.
