Subotiz Payments is the native payment product within the Subotiz platform, designed for digital content, virtual goods, and subscription businesses. Unlike third-party payment providers that require separate integration, Subotiz Payments is built directly into the Subotiz admin, enabling merchants to manage payments, subscriptions, settlement, and compliance in one place. It supports major international credit card networks (Visa, Mastercard, American Express, JCB), Apple Pay, Google Pay, BNPL, and various localized payment methods. It also includes an AI-driven engine for smart routing, failure retry, risk detection, and customer lifecycle automation. Merchants apply directly within the Subotiz admin and can typically receive a review result within 4 business days.
After submitting an application for Subotiz Payments directly within the Subotiz admin, merchants can typically receive a review result within 4 business days when application materials are complete. After approval, the system automatically activates payment capabilities. Merchants can then enable payment methods in Settings > Payment methods and begin managing transactions, settlement, and reconciliation within the same admin. Chargeback and dispute handling is also managed within the platform without needing to switch between multiple systems.
The Subotiz Sandbox is an isolated test environment that allows merchants to complete account registration, payment configuration, and end-to-end payment flow testing without affecting real operations or triggering actual transactions. To set it up:
  1. Go to https://admin.sandbox.subotiz.com/ and register an account.
  2. After registration, go to Settings > Payment providers > Discover more, find Subotiz Payments, and click Apply — the system activates test payment channels immediately.
  3. Then go to Settings > Payment methods, enable the desired methods such as Card or Apple Pay, and click Save.
The Sandbox mirrors production workflows, making it suitable for full end-to-end validation before going live. Do not use real card details in the Sandbox.
No. In the Sandbox, subscription billing cycles are accelerated to allow faster testing of lifecycle events without waiting for real-time intervals. The accelerated cycles are:
  • Daily subscriptions — run approximately every 10 minutes
  • Weekly subscriptions — run approximately every 70 minutes
  • Monthly subscriptions — run approximately every 310 minutes
This allows merchants to quickly test renewals, expirations, and subscription status transitions. Note that activation in the Sandbox applies to testing only and does not affect the live environment.
Subotiz Payments applies the following fees:
  • Standard processing:
    • FX conversion for customer payments — 2% when customer payments are converted to your settlement currency
    • FX conversion for bank transfers — 1% if currency conversion is needed when transferring settlement funds to your bank
  • Withdrawal:
    • Automatic withdrawal (balance reaches USD 500 or more, processed every Monday) is free for US domestic transfers and USD 20 per transaction for international transfers
    • Manual withdrawal (balance below USD 500) costs USD 5 per withdrawal
  • Active account fee — USD 5 per month when the account has transaction activity
  • Dispute fees — USD 15 per dispute when dispute or fraud ratio is 1% or below, and USD 20 per dispute when above 1%
  • Account-level fees — account opening is USD 500, and account changes such as entity or settlement currency updates cost USD 500 per request
The FX conversion fee on customer payments (2%) is charged when the customer’s payment currency needs to be converted into your settlement currency. To avoid this fee, ensure that the customer’s payment currency matches your settlement currency — when the two currencies are the same, no FX conversion fee is applied during payment processing. Similarly, for the FX conversion fee on bank transfers (1%), this is only charged when currency conversion is required when transferring settlement funds to your bank account. Choosing a settlement currency aligned with your primary sales market can reduce unnecessary FX costs and improve settlement efficiency.
Subotiz Payments operates on a minimum settlement cycle of T+2. Under this timeline, funds from a successful transaction generally become eligible for settlement two business days after the payment date. Weekends and public holidays are excluded from the count. For example, a payment completed on Monday would move to available balance by end of Wednesday (Tuesday and Wednesday count as two business days). A payment on Friday under T+2 would skip the weekend and become available on Tuesday of the following week. The exact settlement cycle for your account depends on factors including business model, processing history, dispute performance, and account risk. Your active cycle is visible in Finance > Balance > Pending balance.
A reserve fund in Subotiz Payments is the portion of processed funds temporarily held instead of moving directly into the available balance. Reserves act as a safeguard for refunds, disputes, chargebacks, and other post-transaction adjustments. Important: reserves are not fees. They are temporarily withheld amounts that return to the merchant on a scheduled release timeline defined by the account’s reserve policy. Two types apply:
  • Rolling reserve — a fixed percentage of each transaction held for a predefined period and released on a rolling basis
  • Fixed reserve — a set amount held as a risk buffer, not tied to transaction percentages, released following review or policy adjustment
Rolling reserve works on a transaction-by-transaction basis. A fixed percentage of each transaction is withheld at the time of settlement, and those funds are returned after a predefined holding period on a rolling basis. For example, with a 10% rolling reserve and a 30-day holding period: a USD 200 transaction on March 1 results in USD 20 placed into reserve. On March 31 — 30 days later — that same USD 20 is automatically released back into the available balance. This creates a steady, predictable flow of withheld and released funds across cycles. All reserve entries are visible in the Balance module in the Subotiz admin, with records showing the reserve type, amount, transaction time, and the amount withheld or released per cycle.
Before applying, prepare the following:
  • Business information — including your official website URL, business model and product description, and business registration or incorporation documents.
  • Director information — including details and identification documents for company directors or key management personnel.
  • Beneficial owner information — for corporations, individuals who directly or indirectly own 25% or more (or the ultimate controlling person if no one meets this threshold); for partnerships, all partners must be listed.
  • Payout account setup — either a bank statement from the last 6 months showing account holder name, account number, statement date, bank name and logo (for linking an existing overseas bank account), or documentation for applying for a Global Account.
  • Credit assessment materials — such as links or documents showing business scale, pricing structure, and transaction model.
Preparing complete and accurate information in advance can significantly reduce review time.
Yes. The website is a required part of the Subotiz Payments review process. As part of the application, you must confirm a Website Checklist verifying that:
  • your official website is publicly accessible
  • product or service descriptions are clear and accurate
  • required policy pages are present (such as Refund Policy and Privacy Policy)
  • website content is consistent with your actual business model
If website content is incomplete, inconsistent with the business model, or pages are inaccessible, the application may be returned for additional information or rejected. Resolving website issues before submitting the application can reduce the risk of delays.
Yes. If you do not have an overseas bank account, you can apply for a Global Account as part of the Subotiz Payments application. When setting up your payout account during the application, select Apply Global Account instead of linking an existing account. You will need to select a default payout currency and ensure the payout region matches the company’s registered jurisdiction. Note that for companies registered outside Mainland China and Hong Kong, additional documentation is required including a Director Appointment Letter and a Shareholder Structure Chart. All documentation must be clear, complete, and consistent with previously submitted business and beneficial owner information.
The active account fee is USD 5 per month and applies when the account records transaction activity during the billing month. If no transactions occur in a given month, the fee is not charged. This fee is one of the standard operational fees in Subotiz Payments and appears in the transaction records on the Balance page as an Active account fee deduction transaction type.
If the dispute or fraud ratio — measured by either the number or total value of disputed or fraudulent transactions within the review period — exceeds 1%, the dispute fee per case increases from USD 15 to USD 20. The dispute ratio is assessed based on transaction count or transaction amount within the assessment period. Keeping dispute ratios below the 1% threshold helps maintain lower dispute fees and reduces account risk. Higher dispute ratios may also affect settlement cycle and reserve fund terms.
Several factors influence the settlement cycle assigned to a Subotiz Payments account:
  • business model and industry category
  • sales volume stability and processing history
  • dispute and chargeback ratios
  • compliance reviews or account updates
  • routing differences across payment providers
As account performance improves — for example lower dispute ratios, stable processing history, and passing compliance reviews — the settlement cycle may be adjusted accordingly. The current active settlement cycle for your account is always visible in Finance > Balance > Pending balance in the Subotiz admin.
The reserve policy — including the type of reserve (rolling or fixed), percentage, and holding period — is determined based on several factors:
  • business model and industry classification
  • transaction patterns and sales volume
  • dispute and refund ratio
  • industry risk rating
  • account age and processing history
  • compliance and operational reviews
Reserve terms are not fixed permanently. As account performance improves — for example with lower dispute ratios, stable transaction history, and passing compliance reviews — reserve requirements may be adjusted or reduced over time. All reserve entries are fully recorded in the Balance module in the Subotiz admin.
When submitting the initial application, the following business information is required:
  • legal business name
  • website URL
  • country or region
  • contact name
  • customer support email
  • phone number
Before entering this information, confirm the Website Checklist — your site must include:
  • clear product or service descriptions
  • customer support contact
  • Privacy Policy
  • Terms of Service
  • Refund Policy
  • Cancellation Policy
  • accepted payment methods
  • website security information
Incomplete, inaccessible, or inconsistent website content may delay review or result in rejection.
Global Account is currently available to business entities registered in the following countries and regions:
  • Mainland China
  • Hong Kong SAR
  • United States
  • United Kingdom
  • France
  • Germany
  • Austria
  • Denmark
If eligible, the Apply for Global Account option will be displayed on the Payout Account page. If not displayed, your entity is not currently eligible and you must select Link an Existing Account instead. Supported regions may change — refer to the application page for latest availability.
Subotiz Payments uses a two-tier approval process:
  • After Tier 1 approval — you can begin accepting payments and an initial processing limit is applied, but settlement and payout are not yet available.
  • After Tier 2 approval — settlement, payout, and related account capabilities become available, processing limits are removed, and full account capabilities are enabled.
After Tier 1 approval, additional information is typically required to complete the Tier 2 review. Available features at each stage depend on your current account status as shown in the admin.
Go to Settings > Payment Providers > Subotiz Payments to check the current review status and available actions. The page shows the application status, review results, and any outstanding information requests. If Edit Information, Complete KYC verification, or other pending prompts appear, follow the instructions and resubmit. Review updates are also delivered through system notifications.
After Tier 1 approval, additional information may be required to complete the Tier 2 review. Required documents vary based on business type and compliance requirements. Commonly requested items include:
  • business registration information and documents
  • business owner information
  • director information (if applicable)
  • beneficial owner information including identity documents and address proof (if applicable)
  • business operation details such as product or service descriptions, target markets, industry type, estimated monthly transaction volume, and policy page URLs
When Complete Information is displayed, follow the on-screen instructions to submit the required documents and resubmit for review.
If rejected, the system displays the specific rejection reason. Review it and update the relevant information or documents per the on-screen instructions, then resubmit for review. For payout account issues, you may also choose a different payout method — either Apply for Global Account or Link an Existing Account. Common rejection reasons include:
  • website content not matching the actual business model
  • incomplete or unclear documents
  • mismatched payout account ownership
  • inaccessible policy pages
The payout account must meet the following requirements:
  • The account’s country or region must match the registered business entity’s location.
  • Sole proprietorships and companies with 100% individual ownership may use the owner’s personal bank account; most other business types must use a business bank account.
  • When linking an existing account, upload a bank statement from the last six months showing account holder name, account number, statement date, bank name, and bank logo.
  • If the account is newly opened and a six-month statement is unavailable, an online banking screenshot showing account holder name, account number, and bank platform identification may be submitted as an alternative, subject to review.
